How to Schedule an Appointment for a Specific Patient

We recommend treatment planning procedures from the Chart Module before creating an appointment, but procedures can be treatment planned from the appointment.

How to schedule an appointment for a specified date and time:

  1. Select the patient whose treatment you would like to schedule.
  2. Go to the Appointments Module.
  3. In the schedule area, double-click an open spot that corresponds to the appointment start time in the operatory where the appointment is to be scheduled.
    • If the patient has scheduled, broken, unscheduled, or planned appointments, the Appointments for Patients window opens to review appointment history before scheduling. If you would like to schedule or reschedule an existing appointment, select the appointment and click Copy to Pinboard. Otherwise, click Create New Appt to proceed to start with a blank appointment.
  4. In the Edit Appointment window, highlight any procedures that will be completed during the appointment.
    • If applicable procedures have not been treatment planned, use the single click list or click Add to plan additional procedures. If procedures require a treatment area, you will not be prompted to enter it. Double-click a procedure once it is planned to enter a treatment area.
  5. Set additional appointment details as applicable.
  6. If needed, adjust the appointment length by clicking and dragging the time grid on the left side of the window.
  7. Click Save to complete scheduling the appointment.
  8. Answer any prompts that may appear.

The appointment is added to the operatory you selected at the applicable date and time.

How to schedule an appointment and search for time slots:

  1. Select the patient whose treatment you would like to schedule.
  2. In the Appointments Module, click Make Appt from the top toolbar.
    • If the patient has scheduled, broken, unscheduled, or planned appointments, the Appointments for Patients window opens to review appointment history before scheduling. If you would like to schedule or reschedule an existing appointment, select the appointment and click Copy to Pinboard. Otherwise, click Create New Appt to proceed to start with a blank appointment.
  3. In the Edit Appointment window, highlight any procedures that will be completed during the appointment.
    • If applicable procedures have not been treatment planned, use the single click list or click Add to plan additional procedures. If procedures require a treatment area, you will not be prompted to enter it. Double-click a procedure once it is planned to enter a treatment area.

  7. In the Appointments Module, use the Appointment Search or the Calendar to locate the date and time you want to schedule the appointment.
  8. Click and drag the appointment into the applicable operatory at the preferred date and time.
  9. Answer any prompts that may appear.

How to Find and Schedule Patients with Outstanding Treatment

How to Find and Schedule Outstanding Planned Appointments

  1. In the Appointments Module, click Lists in the top toolbar.
  2. In the Appointment Lists window, Click Planned Tracker.
  3. In the Track Planned Appointments window, set filters. See Planned Appointment Tracker for detailed information.
    • You can easily filter by Code Range if you're looking to fill an opening with certain types of treatment (e.g., major restorative).
  4. Right-click an appointment you want to schedule.
    • To make changes to the appointment, double-click the appointment instead and click Pinboard once changes have been made.
  5. Choose Send to Pinboard. The appointment is sent to the Pinboard in the Appointments Module.
  6. In the Appointments Module, use the Appointment Search or the Calendar to locate the date and time you want to schedule the appointment.
    • The Track Planned Appointments window can remain open in the background.
  7. Click and drag the appointment into the applicable operatory.
  8. Answer any prompts that may appear.
  9. Repeat steps as needed to schedule additional appointments.

How to Find Patients with Unscheduled Treatment Planned Procedures

  1. In the Main Menu, go to Reports, Standard Reports.
  2. In the Reports window, Lists area, click Treatment Finder.
  3. In the Treatment Finder window, set filters. See Treatment Finder for detailed information.
    • You can easily filter by Code Range if you're looking to fill an opening with certain types of treatment (e.g., major restorative). You can also filter by remaining benefits if you're looking to get patients into the offices before insurance benefits reset or expire.
  4. Select a patient from the list whose treatment you want to schedule.
