How to Set Up an Ortho Case for New Treatment
Before using Ortho Cases, Ortho Case Procedures must be set up in Preferences. See How to Set Up Ortho Case Procedures for instructions.
To set up an ortho case for new treatment:
- Select the patient and go to the Chart Module.
- Treatment plan the banding procedure. See Enter Treatment for instructions.
- Go to the Account Module.
- In the Account Module, go to the Ortho Cases tab.
- Click Add Ortho Case.
- In the Ortho Case window, click [...] next to Banding Procedure.
- In the Select Banding Procedure window, double-click the appropriate procedure from the list.
- In the Ortho Case window, Fee Details area, enter the treatment fee, and total patient and insurance portions.
- If the patient has both primary and secondary insurance, there are fields for each.
- In the Procedure Breakdown area, enter the dollar amount or percentage of the total fee to be billed for banding, debond, and all visits.
- In the Visit Details area, enter visit information. Only one field must be filled out. Other fields are auto-calculated based on the entered number.
- Once all the numbers have been entered, the Ortho Schedule is automatically populated.
- In the Dates area, enter the Banding Date and Expected Debond Date.
- Optional: If you want to attach a patient Payment Plan to the Ortho Case, use the Payment Plan button in the Ortho Case window to create a new Payment Plan. See Payment Plan for more details.
- In the Ortho Case window, click Save.
As procedures are set complete, the Ortho Schedule is automatically updated. Once the debond procedure is set complete, the Ortho Case is automatically closed.
How to Set Up an Ortho Case for Transferred Treatment
Before using Ortho Cases, Ortho Case Procedures must be set up in Preferences. See How to Set Up Ortho Case Procedures for instructions.
- In the Account Module, go to the Ortho Cases tab.
- Click Add Ortho Case.
- In the Ortho Case window, check Is Transfer next to Banding Procedure.
- In the Fee Details area, enter the treatment fee, and total patient and insurance portions.
- If the patient has both primary and secondary insurance, there are fields for each.
- In the Procedure Breakdown area, enter the dollar amount or percentage of the total fee to be billed for debond and remaining visits.
- Banding Amount is disabled for transfers.
- In the Visit Details area, enter visit information for the remaining visits. Only one field must be filled out. Other fields are auto-calculated based on the entered number.
- Once all the numbers have been entered, the Ortho Schedule is automatically populated.
- In the Dates area, enter the Transfer Date and Expected Debond Date.
- Optional: If you want to attach a patient Payment Plan to the Ortho Case, use the Payment Plan button in the Ortho Case window to create a new Payment Plan. See Payment Plan for more details.
- In the Ortho Case window, click Save.
As procedures are set complete, the Ortho Schedule is automatically updated. Once the debond procedure is set complete, the Ortho Case is automatically closed.
How to Set Up Ortho Case Procedures
- In the Main Menu, click Setup, then Preferences.
- In Preferences, go to the Ortho category.
- In the Ortho Case Procedures area, enter applicable codes.
- Banding Codes: Procedure codes used for initial orthodontic treatment (i.e., banding)
- Visit Codes: Procedure codes used for periodic ortho treatment visits (e.g., adjstments)
- Debond Codes: Procedure codes used when ortho hardware is removed (i.e., ortho treatment is complete)
- Click Save.
