How to send a text message to a patient with a scheduled appointment

Choose an option to jump to the applicable steps:

To send a custom text message:

  1. Go to the Appointments Module.
  2. Right-click the patient's appointment.
  3. In the menu, click Send Text.
  4. In the Text Message window, enter the message content into the text box.
  5. Click Send. This will close the Text Message window.

To send an appointment confirmation message:

  1. Go to the Appointments Module.
  2. Right-click the patient's appointment.
  3. In the menu, click Send Confirmation Text.
  4. In the Text Message window, review the message content and edit as needed.
  5. Click Send. This will close the Text Message window.

To send a link to a statement or payment option:

  1. Go to the Appointments Module.
  2. Right-click the patient's appointment.
  3. In the menu, click Send Message-To-Pay Message.
  4. In the Message-to-Pay window, determine the Statement Type:
    • To send a family statement to the guarantor, select Family.
    • To send a single patient statement to the guarantor, select Patient Only and check Send to guarantor.
    • To send a single patient statement to the currently selected patient, select Patient Only and uncheck Send to guarantor.
  5. Check the Send Text box.
  6. Review the message content and edit as needed.
  7. Click Send.
  8. Click OK on the confirmation message to close the Message-to-Pay window.

Note: Message-to-Pay requires Patient Portal Access for statements, and Payment Portal for online payments.

How to send a text message to a patient without a scheduled appointment

Choose an option to jump to the applicable steps:

To send a custom text message:

  1. Select the patient, and on the Main Toolbar, click the Text button.
  2. In the Text Message window, enter the message content.
  3. Click Send. This will close the Text Message window.

To send a link to a statement or payment option:

  1. Select the patient and go to the Account Module.
  2. Click the dropdown menu next to the Payment button.
  3. Click Send Message-To-Pay Message.
  4. In the Message-to-Pay window, determine the Statement Type:
    • To send a family statement to the guarantor, select Family.
    • To send a single patient statement to the guarantor, select Patient Only and check Send to guarantor.
    • To send a single patient statement to the currently selected patient, select Patient Only and uncheck Send to guarantor.
  5. Check the Send Text box.
  6. Review the message content and edit as needed.
  7. Click Send.
  8. Click OK on the confirmation message to close the Message-to-Pay window

How to send messages to multiple patients on a single day

Choose an option to jump to the applicable steps:

How to send messages to all patients in a single operatory:

  1. Go to the Appointments Module.
  2. Right-click an empty area of the schedule in the operatory whose patients you would like to message.
  3. In the menu, click Text Appointments for Day, Op only.
  4. In the Text Message window, enter the message content into the text box.
  5. Click Send.
  6. Click OK to close the sent confirmation message.

How to send messages to all patients in the current appointment view:

  1. Go to the Appointments Module.
  2. Right-click an empty area of the schedule.
  3. In the menu, click Text Appointments for Day, Current View only.
  4. In the Text Message window, enter the message content into the text box.
  5. Click Send.
  6. Click OK to close the sent confirmation message.

How to send messages to all patients in the current Clinic:

  1. Go to the Appointments Module.
  2. Right-click an empty area of the schedule.
  3. In the menu, click Text Appointments for Day, Appointment View only.
  4. In the Text Message window, enter the message content into the text box.
  5. Click Send.
  6. Click OK to close the sent confirmation message.

How to send a text message to a nonpatient

  1. In the Main Toolbar, click the Text button.
  2. In the Text Message window, select Another Person.
  3. Enter the wireless phone number.
  4. Enter the message content.
  5. Click Send.
  6. Click OK to confirm sending the message without a Commlog. This will close the Text Message window.

How to review received text messages

Choose an option to jump to the applicable steps:

To view communication history for a single patient, including text messages:

  1. Select the patient and go to the Chart Module.
  2. In the Progress Notes area, review the text messages in Commlogs.
  3. To filter Progress Notes to only show Commlogs, click the Show tab to the right of the Tooth Chart.
  4. Select or create a Chart View, or uncheck all except Commlogs and Proc Notes.
  5. Review Commlogs and double-click as need to view more information.
    • Alternatively, select the patient and go to the Account Module. Review text messages in the Communications Log area.

To view the Text Messaging Mailbox and reply to messages:

  1. In the Main Toolbar, click the dropdown menu next to the Text button.
  2. Click Text Messages All or Text Messages Received.
  3. In the Text Messaging window, set filters (e.g., date, current patient) and click Refresh to update displayed messages.
  4. To view a conversation, click on a text message.
  5. Messages for the selected conversation are displayed on the right side of the window.
  6. To send a reply, compose a message in the text box below the conversation.
  7. Click the Send button next to the typed message.

The Text Messaging window remains after the message is sent.
